Setting your time zone

You set your time zone in Settings > Profile, in the Time Zone section. SavvyCal uses it to place the hours on all of your schedules. People booking with you see your open times converted to their own time zone, which the booking page detects from their browser.

Where do I set my time zone?

  1. Go to Settings > Profile.
  2. In the Time Zone section, pick your time zone from the list.

The change saves right away and applies to all of your scheduling links.

When you sign up, SavvyCal sets your time zone from your browser. After that, it never changes it on its own. If your browser's time zone is different from the one you've set, the Time Zone section shows We detect you are in... with an Update button. Click it to switch to the detected time zone, or ignore it to keep yours.

If your hours look off, often by exactly one hour, check these:

  1. Your time zone is set to a neighbor. For example, most of Arizona doesn't observe daylight saving time, so it's listed separately as Mountain Standard Time (Phoenix), not Mountain Time. Pick the entry that matches your city.
  2. A scheduled time zone change is in effect for those dates. See Does my schedule follow me when I travel?
  3. The booking page is showing a different time zone. Look at the time zone picker on the booking page. If you're signed in to SavvyCal, it uses your SavvyCal time zone, not your browser's. A link with time_zone in its URL also sets it.
  4. Daylight saving time started or ended in only one of the two places. See What about daylight saving time?

Do my schedules have their own time zones?

No. Every schedule uses your account time zone. The Weekly Hours on each schedule are clock times in that time zone, so changing your time zone moves all of your schedules with it. See availability schedules for more on schedules.

The Times shown in picker at the bottom of the schedule and link editors only changes how the calendar preview is displayed. It doesn't change your time zone or your hours.

What about daylight saving time?

SavvyCal handles it for you. Your hours stay at the same clock time all year, so 9 AM to 5 PM is still 9 AM to 5 PM after the clocks change.

Schedulers whose clocks change on a different date than yours, or who don't observe daylight saving time, will see your times shift by an hour on their end. That's expected: your 9 AM really is a different time for them.

Does my schedule follow me when I travel?

Not automatically. For a trip, schedule a time zone change: pick the dates and the time zone you'll be in, and your hours follow that time zone on those dates. Your regular time zone comes back on its own afterward.

While a change is in effect, SavvyCal uses it in the app and in emails about meetings during your trip.

While you're traveling, Settings > Profile may suggest updating your time zone to where you are. Clicking Update replaces your regular time zone, not just the trip. For a short trip, schedule a time zone change instead.

What time zone does the scheduler see?

The booking page detects the scheduler's time zone from their browser and shows your open times in it. They can change it with the time zone picker, labeled Times shown in at the bottom of the page (or Time Zone on smaller screens). Their choice is added to the page's URL, so it sticks if they reload.

If the scheduler is signed in to SavvyCal, the page uses the time zone from their SavvyCal account instead of their browser.

Can I set or lock the time zone on my booking page?

You can set the starting time zone by adding time_zone to the link's URL, for example ?time_zone=America/Chicago. See prefilling data on scheduling links. The scheduler can still change it with the picker.

There's no setting that locks a link to one time zone. For in-person meetings, mention the time zone in the link's description so schedulers know which local time they're booking.

What time zone are emails and reminders in?

Each person's emails show times in their own time zone. SavvyCal saves a time zone for everyone on a meeting when it's booked:

  • The scheduler: the time zone selected on the booking page when they booked.
  • You and teammates with a SavvyCal account: your time zone at the time of the meeting, including any scheduled time zone change.
  • Other people on the link without a SavvyCal account: the organizer's time zone.

Workflow emails use the recipient's time zone too. To always show one specific time zone in a workflow email, see displaying times in a specific time zone.

Meetings that are already booked keep the time zones they were booked with, even if someone changes their time zone later.

I moved. How do I update everything?

  1. Change your time zone in Settings > Profile. All of your schedules switch with it, and your weekly hours stay at the same clock times in the new time zone.
  2. Delete scheduled time zone changes you no longer need, in the same section.
  3. Check upcoming overrides. Overrides are saved as exact moments, not clock times, so they don't move with your time zone. An override for 9 AM in your old time zone covers a different hour in your new one. Delete and re-create any that are now off.
  4. Update your calendar app's time zone too. SavvyCal doesn't change it.

Meetings that are already booked stay at the same moment, and emails about them still use the time zone they were booked with.

Each person's availability uses their own time zone and their own scheduled time zone changes. SavvyCal lines everyone's hours up in real time, so a teammate working 9 to 5 in New York and another working 9 to 5 in London overlap for only a few hours.

  • On a collective link, a time is offered only when every required attendee is available, so time zone differences can leave just a small window.
  • On a round-robin link, a time is offered when anyone in the pool is available, so different time zones can widen the hours you cover.

Each teammate sets their own time zone in their own Settings > Profile.
