Integrating with Microsoft Teams

Microsoft Teams meetings come from your Microsoft calendar, so there's nothing extra to connect. When someone books, SavvyCal creates the event on the organizer's Microsoft work or school calendar and asks Microsoft to make it a Teams meeting. Microsoft adds the Teams meeting to that event.

To use Teams, the organizer needs to create events on a Microsoft work or school calendar. Then pick Microsoft Teams as the link's location.

How do I add a Teams meeting to my link?

  1. Make sure the organizer creates events on their Microsoft calendar. See Where do I choose the calendar?
  2. Open the link and click Location/Conferencing.
  3. Click the organizer. On the Location tab, open the menu and choose Microsoft Teams.
  4. Click Save.

To use Teams on new links by default, go to Settings > Links. Under Default Location, click Microsoft Teams, then click Save settings.

You won't find Teams under Settings > Integrations. Unlike Zoom, it doesn't have its own connection. It works through your Microsoft calendar, the same way Google Meet works through your Google calendar.

Why isn't Microsoft Teams available?

Teams only shows up when the calendar the organizer creates events on supports Teams meetings. On a link, Teams is missing from the location menu. Under Settings > Links, the Microsoft Teams option is grayed out, and hovering over it tells you why:

  • "Connect a Microsoft calendar to use Microsoft Teams": no calendar is selected under Create events on.... Connect your Microsoft 365 account under Settings > Integrations, then pick its calendar.
  • "To use Microsoft Teams, set ‘Create events on’ to a Microsoft work or school calendar": you create events on a Google, iCloud, or Fastmail calendar. Switch Create events on... to your Microsoft calendar.
  • "Your Microsoft account doesn't support Teams meetings": you create events on a Microsoft calendar, but Microsoft doesn't offer Teams meetings for that account. This happens with personal Microsoft accounts, and can happen with a work account if your organization hasn't set up Teams for it.

For a Microsoft account, SavvyCal can only create events on the account's main calendar, so that's the only Microsoft calendar you can pick under Create events on....

Does Teams work with a personal Outlook.com account?

No. Teams meetings on SavvyCal links need a Microsoft work or school account. With a personal Microsoft account, such as an Outlook.com or Hotmail address, the Teams option stays unavailable. Use Zoom or another location instead.

Why does my link show a warning about Teams?

If a link uses Teams but the organizer's calendar can't create Teams meetings, you'll see this in the Location/Conferencing section of the link:

  • "Microsoft Teams needs to be reconnected." when it's your own location.
  • "The Microsoft Teams account for Taylor needs to be reconnected." when it's a teammate's, with their first name in place of Taylor. The warning asks you to have them reconnect their account.

Despite the wording, reconnecting only fixes one of the causes. Here's what to check for the person named in the warning:

  • Their Microsoft account was disconnected or needs to sign in again. Click Reconnect on the warning, or reconnect the account under Settings > Integrations.
  • The link doesn't create events on their Microsoft calendar. Click them under Location/Conferencing, open the Calendar tab, and set Create events on... to their Microsoft work or school calendar.
  • Their Microsoft account doesn't support Teams. Choose a different location for them on the Location tab.

When you change a link's calendar to one that doesn't support Teams, and Teams was the only location, SavvyCal removes Teams from the link and it shows "No location set." If the link offers more than one location, Teams stays on the list and the warning appears instead.

The Teams meeting is created on the organizer's calendar, so only the organizer needs a Microsoft work or school calendar.

  • Collective links: the link's organizer needs Teams. Your teammates are added to the invite as attendees, so they can be on any calendar.
  • Round robin links: whoever gets the booking is the organizer, and each person in the pool has their own location. You can pick Teams for people who create events on a Microsoft work or school calendar, and something else, like Zoom, for everyone else. The Location/Conferencing section says "Varies by organizer." Click a person there to set theirs.

On round robin links, each person in the pool can have only one location.

Microsoft adds the Teams meeting to the event on the organizer's calendar, and Microsoft sends the invite from that calendar. See Where calendar invites come from.

SavvyCal also saves the join link with the event:

  • On the event in SavvyCal, the location shows Microsoft Teams as a link to the meeting.
  • Emails SavvyCal sends about the event list it under Conferencing URL, with "Join this meeting via Microsoft Teams" under Conferencing Instructions.

The scheduler is a guest on the event, so they can't change the meeting or its Teams link from their own calendar. See Why can't the scheduler edit the event?

Can the scheduler join without Teams?

The scheduler joins the way they'd join any Teams meeting, by clicking the link in the invite. Who can join, and whether guests wait in a lobby, are set in your organization's Teams settings, not in SavvyCal.
