Where calendar invites come from
When someone books a time, SavvyCal creates the event on the calendar the organizer picked under Create events on.... If that's a Google or Microsoft calendar, Google or Microsoft sends the invite from that calendar account, and that account's email address is the organizer on the invite. In every other case, SavvyCal sends the invite itself as an email with an invite.ics file attached.
Who sends the invite?
It depends on the calendar the organizer creates events on:
- A Google or Microsoft calendar. We create the event on that calendar with everyone on it, and Google or Microsoft emails the invites. It works just like creating the event in your calendar yourself and adding guests.
- No calendar selected. We email the invite to everyone, including you, with an
invite.icsfile attached so each person can add the event to their own calendar. - An iCloud or Fastmail calendar. We create the event on your calendar, and SavvyCal emails the invites to everyone else.
Invite emails from SavvyCal come from notifications@savvycal.com with your name followed by "(via SavvyCal)" as the sender name. When a guest replies, the reply goes to you. On the Premium plan, you can send them from your own address instead.
Google and Microsoft only send the invites when the organizer email on the link matches the calendar account. If you choose a different email address for yourself on a link, SavvyCal sends the invites instead, and the event on your calendar lists only you.
When Google or Microsoft sends the invites, SavvyCal still emails you a booking notification. See Configuring booking notifications to choose which address those go to.
Where do I choose the calendar?
Your default calendar is under Settings > Integrations, in the Calendars section. Pick a calendar from the Create events on... menu. The same setting is also under Settings > Links. New scheduling links use this calendar.
To use a different calendar on one link, open the link, click Calendar Invitations, and click the organizer. On the Calendar tab, pick a calendar from Create events on... and save.
A few things to know:
- For a Google account, you can pick any calendar you own or can edit.
- For a Microsoft account, you can only pick the account's main calendar. Other Outlook calendars don't show up in the menu.
- Changing your default doesn't change links you already have. If some links use a different calendar, you'll see a note like "2 scheduling links use a different calendar." Click Review, check the links you want to update, and click Sync selected links.
Who is the organizer on the invite?
- One-on-one, collective, and group links: the link's organizer. On a collective link, your teammates are added to the invite as attendees.
- Round robin links: whoever in the pool gets the booking. Each person in the pool has their own calendar for the link, so the Calendar Invitations section says "Varies by organizer." Click a person there to set theirs. See Round robin scheduling links.
The organizer's email address is the address of the calendar account they create events on. With no calendar selected, it's the email address they use to sign in to SavvyCal. To use another address you own, see Customizing your email address on scheduling links.
Why do invites still show my old email address?
Changing the email address you sign in with doesn't change invites from your calendar. Here's what to check:
- The calendar account. When you create events on a Google or Microsoft calendar, the organizer is that calendar account's address, not your SavvyCal login. If the calendar you connected still uses the old address, connect the new account under Settings > Integrations, then pick its calendar under Create events on.... Sync your existing links when prompted.
- The link's email setting. Open the link, click Calendar Invitations, click yourself, and look at Use default email address on the invite. If it's off, the link uses the specific address selected below it.
- Events booked before the change. An event keeps the organizer email and calendar it was booked with. Changing a link's calendar or email only affects new bookings.
How do I make someone else the organizer?
To change the organizer on a link:
- Open the link and click Attendees.
- Click any person on the link, then click Change role.
- Next to the person you want, open the menu that says Attendee and choose Organizer.
- Click Change organizer. The current organizer becomes an attendee.
Only paid SavvyCal users can be organizers. Round robin links don't have this option, because the organizer is picked from the pool for each booking. After you switch, check the new organizer's calendar under Calendar Invitations.
To hand off an event that's already booked, open the event and click Reassign. See How do I hand an event to a teammate?
Why can't the scheduler edit the event?
The event belongs to the organizer's calendar, and the scheduler is a guest on it. In Google Calendar and Outlook, guests can't change an event someone else organized. To make a change, the scheduler can use the Reschedule and Cancel links in the event description, when the link allows it.
The same goes for video links. The conferencing on the event is created on the organizer's calendar account:
- Microsoft Teams needs the organizer to create events on a Microsoft work or school calendar.
- Google Meet needs the organizer to create events on a Google calendar. See Integrating with Google Meet.
If the organizer creates events on a different kind of calendar, those options aren't available on the link.
Why do invites land in spam?
If SavvyCal is sending your invites, they come from notifications@savvycal.com. Some email filters treat messages from a shared sending address more strictly. You can:
- Create events on a Google or Microsoft calendar, so the invite comes from your own calendar account.
- On the Premium plan, set up a Sender Profile to send emails from your own address.
If the invite arrives but doesn't show up on a Google Calendar, that's a Google setting for invites from people you haven't emailed before. See Events not appearing automatically on Google Calendar.
Why does Outlook show an .ics attachment instead of an invite?
That means SavvyCal sent the invite, not Google or Microsoft. Our invite emails include an invite.ics file marked as a calendar invitation, so most email apps show the event details and let you add it to your calendar. If an app only shows the attachment, open invite.ics to add the event.
Each person's copy lists only the organizer and that person. Responding to it adds the event to your own calendar, but it doesn't send an RSVP back to the organizer.
To have people get a regular Google or Outlook invite instead, create events on a Google or Microsoft calendar and leave Use default email address on the invite on.
How do invites work on group links?
On a group link, SavvyCal always sends the invites, even when you create events on a Google or Microsoft calendar. Each scheduler gets an email with an invite.ics file. The event on your calendar lists only you, so schedulers don't see each other's names or email addresses on the invite.
