Organizations

Team and organization roles

SavvyCal has roles at two levels. Your organization (your subscription) has one Owner, any number of Admins, and everyone else is a Member. Each team has its own Owner, Admins, and Members. Organization owners and admins can manage billing, members, and every team in the organization, even teams they aren't on.

You'll find organization roles in the Members section of Settings > Billing, and team roles on each team's settings page (Teams, then click the team's name). Owners and admins have an Owner or Admin badge next to their name.

Members only see the Teams section on the Billing page, listing the teams they belong to. When a member creates a team, the organization is grayed out with "You don't have permission to create teams under this organization."

Owners and admins can also see and edit the links under each member's personal username, because that username belongs to the organization. See Transferring your username to a different organization.

Organization owners and admins can do everything a team owner can, on every team in the organization. They see all of the organization's teams on the Teams page, and under Teams on the Billing page.

The Branding section covers the team's avatar, banner image, colors, and theme. The Hide SavvyCal branding on scheduling links toggle needs the Premium plan.

How do I make someone an admin?

For the organization: go to Settings > Billing, open the menu next to the person under Members, and choose Grant admin role. Choose Remove admin role to undo it.

For a team: open the team's settings, open the menu next to the person under Members, and choose Grant admin role or Remove admin role.

An organization admin can manage every team, so you don't need to make them an admin of each team too.

How do I transfer ownership?

Transferring the organization

Only the current owner can do this, and the new owner must already be a member of the organization.

  1. Go to Settings > Billing.
  2. Under Members, open the menu next to the new owner and choose Transfer ownership.
  3. Click Transfer organization.

You become an admin, so you keep access to billing and members. The subscription and the payment method on it don't change. The new owner can update the payment method under Manage my subscription.

The owner can't leave the organization or be removed from it. If the owner is leaving the company, transfer ownership first. If the owner deletes their account instead, the subscription is canceled for everyone. See Managing your subscription.

Transferring a team

The team's owner, or an organization owner or admin, can transfer a team. Open the team's settings, open the menu next to the new owner under Members, choose Transfer ownership, and click Transfer team. The previous team owner becomes a team admin.

How do I remove someone who left the company?

Remove them from the organization, not just from their teams. Only removing someone from the organization frees their seat.

  1. Go to Settings > Billing.
  2. Under Members, open the menu next to their name and choose Remove.
  3. Click Remove from organization.

Owners and admins can remove anyone except the owner.

Want their team links to go to someone other than the owner? Before you remove them, open each link they organize, click the new person in the link's Attendees section, and choose Set as organizer from the menu.

What happens when I remove someone from the organization?

  • They're removed from every team in the organization.
  • They're taken off the team links they attend, including round robin pools.
  • Team links they organize move to the organization's owner. The owner is added to the link and becomes its organizer, so new bookings go on the owner's calendar. The link's private name changes to the link's name followed by "(Transferred from their name)", so you can find these links later.
  • Their seat is freed. See when a seat is added or removed for how this shows up on your bill.
  • Their personal links leave your organization. Unless they own a subscription of their own, their account moves to the Free plan and the links under their personal username switch to Pending.
  • Events already booked aren't canceled or reassigned.

Their SavvyCal account isn't deleted. They can still sign in, but they no longer have access to your organization or its teams.

What's the difference between leaving a team and leaving the organization?

Leaving a team only takes you off that team. You stay in the organization, so your seat is still billed. To leave, open the team's settings, open the menu next to your name under Members, and choose Leave team. Team owners and admins can remove someone with Remove from team.

Removing someone from a team doesn't take them off the team's links. They keep taking bookings on those links, and they can still edit them, until you remove them from each link or remove them from the organization.

Leaving the organization removes you from the organization and every team in it, and frees your seat (see what happens).

  • Members can't leave an organization on their own. Ask an owner or admin to remove you.
  • Admins can choose Leave from the menu next to their own name under Members on the Billing page.
  • The owner has to transfer ownership first.

Deleting your account also removes you from every organization you belong to. See Deleting your account.

Each team has a reusable invite link that anyone on the team can share. To get it, open the team's settings, click Add or invite people, and click Copy reusable invite link.

Anyone who opens the link can sign in or create an account and join the team as a member. If the team belongs to an organization, they join the organization too. Each person who wasn't already in the organization adds a seat.

The link doesn't expire, and it can't be reset in the app. Every team member can copy it, not just owners and admins. Only share it with people you want on your team and your bill.

To invite one person at a time instead, team owners and admins can enter an email address and click Send invitation in the same window. Email invitations need a paid plan. Pending invitations don't use a seat until they're accepted.

Organization owners and admins also see an Add organization members tab, which adds people who are already in the organization to the team. That doesn't add a seat.

How do I delete a team?

The team's owner, or an organization owner or admin, can delete a team.

  1. Open the team's settings.
  2. Open the menu next to the team's name and choose Delete.
  3. Type the team's name to confirm, then click Delete team.

This removes all members from the team and deletes all of its scheduling links. It can't be undone. The members stay in the organization, so your seat count doesn't change.

Can I see my teammates' events?

Yes, if you're an owner or admin. On the Events page, open the Attendance filter and choose Anyone's Attending. The page shows I'm Attending by default.

  • Organization owners and admins see events booked on any link in the organization, including links under members' personal usernames.
  • Team owners and admins see events booked on that team's links.
  • Members only see events they're attending.

The Scheduling Links page has the same Attendance filter. With Anyone's Attending, owners and admins see the links they manage, not just the links they're on.
