Scheduling links

Default settings for new links

Settings > Links holds the settings your new scheduling links start with: the calendar, event name, location, booking page view, buffers, and start time increments. SavvyCal copies them onto a link when you create it. After that, the link has its own copy, so changing a default doesn't change your existing links. For most defaults, a note on the page tells you how many links don't match and lets you sync them.

What can I set as a default?

DefaultWhere to change it on one linkCan I sync existing links?
Calendar > Create events on...Calendar Invitations: click the organizer, then the Calendar tabYes
Calendar > With event name...Calendar Invitations > Event NameYes
Default LocationLocation/ConferencingYes
Default ViewBooking Page Options > Default ViewNo
Buffers (Before Events, After Events, and Minimum Notice)AvailabilityYes, all three together
Start Time IncrementsAvailability > Start Time IncrementsYes

More on each one:

Most of these save as soon as you pick a new value. Default Location is the exception: click Save settings after choosing it.

What else is on the Links settings page?

Four sections on Settings > Links aren't defaults. They aren't copied onto links, and a change applies right away to all your links:

  • Calendar Reminders: the reminders on events SavvyCal adds to your calendar. See Configuring calendar reminders.
  • Booking Notifications: which email address gets your booking notifications. See Configuring booking notifications.
  • Branding: colors, theme, avatar, and banner image. Use the menu at the top of the section to pick your own username or a team you manage. Each one has its own branding. See Customizing your branding.
  • Frequency Limits: limits on how many meetings can be booked across all your links. A link can also have its own limits. See Frequency limits.

No. A default only fills in a setting when a link is created. Links you already have keep their own settings, and a setting you change on a link always wins over your default.

There's one exception. When you pick a new calendar under Create events on..., links that don't have a calendar yet start using it. Links set to a different calendar keep theirs. See How do I set the default calendar and event name?

To bring existing links in line with a default, sync them.

When some of your links don't match a default, a note shows up under that section, such as "3 scheduling links have different buffers." Here's each note and what syncing changes:

SectionNoteWhat syncing changes
Calendar"N scheduling links use a different calendar."The calendar the link creates events on
Calendar"N scheduling links have a different event summary."The link's event name
Default Location"N scheduling links have a different location."Your location on the link
Buffers"N scheduling links have different buffers."Before and after buffers, and minimum notice
Start Time Increments"N scheduling links have a different increment."The link's start time increments

To sync:

  1. Click Review next to the note.
  2. In the dialog, every link is checked to start. Uncheck any you want to leave alone. The open button next to each link opens its settings in a new tab, so you can check it first.
  3. Click Sync selected links.

The note goes away once every link matches. If you haven't set a default location, there's no location note.

Default View has no note and can't be synced. To change the view on an existing link, open it and change Booking Page Options > Default View.

Syncing changes the link's settings for new bookings. Events that are already booked stay as they are. For calendar changes, see How do I update my existing links to match?

The list includes links where you're the organizer, including team links you organize, links that are turned off, and single-use links. It doesn't include:

  • Links someone else organizes, even if you're an attendee or a team admin.
  • Round robin links, because they don't have a single organizer. Change their settings on each link.
  • Archived links.

Group links have two limits, because they can't use some settings:

  • Event name: if your default includes attendee names, such as [Organizer] and [Scheduler], group links aren't counted or listed, since they can't use those names.
  • Location: if your default is a phone call, group links show in the list but can't be checked. See Does changing the default update my existing links?

Do teams have their own defaults?

No. The defaults on Settings > Links belong to you. When you create a link on a team, it starts with your defaults, the same as a link under your own username. Each teammate's new links start with their own defaults.

If you create a link under someone else's username with delegated access, it starts with their defaults, not yours.

Two things do work per team:

  • Branding is set per team, in the Branding section of Settings > Links, or under Booking Page Options > Branding on a link.
  • Workflows can be added to every new link on a team, or under your own username. Turn on Automatically attach to new links in the workflow's settings. See Introduction to workflows.
