Scheduling links

What schedulers see on your booking page

When someone opens your scheduling link, they see your link's details on one side and your open times on the other. They pick a time, fill in a short form, and click Schedule. Then they land on a confirmation page and get a calendar invite. They don't need a SavvyCal account to book.

How is the booking page laid out?

Each link opens in one of three views. You choose it in the link editor under Booking Page Options > Default View:

  • Week View shows a calendar grid for one week, starting on the first day of the week.
  • Rolling View shows the same grid, but as seven days in a row instead of a fixed calendar week.
  • Month View shows a month calendar. Clicking a day lists its open times.

In the week views, a column on the left shows your link's details: your avatar, your name, the link's name, the duration, the location, the price (if you collect payments), the description, and a small month calendar. The grid on the right highlights your open times. Above it are a Today button, arrows to move between weeks, and a menu for switching views. Clicking the month name jumps to a date.

Month View puts the same details in a column on the left, with the month calendar and the list of times on the right.

Schedulers can switch views with the view menu. On phones and other narrow screens, the page always uses a step-by-step layout instead: pick a day, then a time, then fill in the form.

New links start with the view picked under Settings > Links > Default View. Changing it doesn't change existing links.

The page opens on the earliest week (or month) that has an open time. To start on a different week, see customizing the earliest visible week.

How are times shown?

  • Time zone. Times are shown in the scheduler's time zone, which they can change from the Times shown in menu at the bottom of the week views, or the Time Zone menu in Month View and on phones. See setting your time zone.
  • 12-hour or 24-hour. Times follow the format the scheduler's device uses. If they're signed in to SavvyCal, their own time format setting is used.
  • Best times. If you highlight preferred times, those times get a Best label and are shown first. Schedulers can click to see the rest.
  • Late or early times. When a scheduler picks a time before 7 a.m. or at 11 p.m. or later in their time zone, the form shows "Heads up! This falls outside of the usual working hours in your time zone."

In the week views, hovering over an open time shows a block the length of the meeting. Clicking it opens the booking form.

What language is the booking page in?

Booking pages are available in English, French, and Dutch. The page uses the scheduler's browser language when it's one of those, and English otherwise. Schedulers can switch languages with the globe icon on the page.

To open a link in a specific language, add locale to its URL, for example ?locale=fr for French or ?locale=nl for Dutch.

How do schedulers choose a duration?

If your link offers more than one duration, the durations appear as buttons in the details column. Picking one updates the open times. In the week views, the booking form also lets schedulers switch to another duration that fits the open time they picked.

What does "Overlay my calendar" do?

Overlay my calendar shows the scheduler's own calendar events on your booking page, next to your open times, so they can see what fits without switching tabs. It's a toggle above the calendar grid in Week View and Rolling View.

To use it, the scheduler signs in to SavvyCal with Google, Microsoft, or Fastmail. If they don't have a SavvyCal account, signing in creates one. Only the scheduler sees their events. You never do.

Once they're signed in:

  • The toggle turns their events on and off.
  • The gear icon next to it opens Calendar settings, where they choose which of their calendars to check for conflicts, connect another calendar (Google Calendar, Microsoft 365, Fastmail, or iCloud Calendar), and turn on Show declined events.
  • Their name and email address are filled in on the booking form.

SavvyCal reads the events on the scheduler's checked calendars for the dates on screen.

A few things to know:

  • Month View and phones don't have the toggle. If the scheduler is signed in, times that conflict with a busy event on their calendar get a small red slash. Hovering over it shows which event.
  • Embedded links don't show the toggle, unless the scheduler is already signed in to SavvyCal in that browser.

What's on the booking form?

After picking a time, the scheduler sees Confirm your details and a form with:

The button says Schedule, or Proceed to checkout when the link requires payment.

To change the fields, open the link and go to Booking Page Options > Form Fields. You can also fill in a scheduler's details ahead of time. See prefilling data on scheduling links. To block Gmail and other free addresses, see rejecting free email addresses.

If someone else books the time while the scheduler is filling in the form, they see Time slot is no longer available and can pick another time.

Can schedulers add guests?

Yes, when Allow guests is on in Booking Page Options. It's on by default. The scheduler clicks Add a guest, enters an email address, and can click Add another guest for more. Guests are added to the meeting as attendees and get the calendar invite too.

Group links don't have this option, and guests can't be added to them.

What happens after someone books?

The scheduler lands on a confirmation page that says This meeting is scheduled. It shows what the meeting is, when it is, who's attending, and where it is. If the scheduler is allowed to, they'll also see Reschedule and Cancel event buttons.

Everyone on the meeting gets a calendar invite. Who sends it depends on your calendar. See where calendar invites come from.

The confirmation page is different when:

Can schedulers reschedule or cancel?

Yes, by default. Open the link, go to Booking Page Options, and turn Allow rescheduling or Allow cancellation off to stop them.

When they're allowed, schedulers can reschedule or cancel from:

  • The Reschedule and Cancel event buttons on the event page.
  • The Reschedule and Cancel links under "Need to make a change?" in the calendar invite's description and in emails SavvyCal sends.

To cancel, the scheduler can leave an optional note and then clicks Cancel the event.

A few things to know:

Can I hide my name, photo, or banner?

  • Your name. Turn off Show the organizer's name in Booking Page Options. It's on by default, and shows the organizer's name above the link's name.
  • Your avatar and banner. These come from your branding settings. Open Booking Page Options > Branding, or go to Settings > Links. They apply to every link under the same username or team. On team links, the team's avatar is shown.

To hide them on one link only, add these to the link's URL. The same table lists the other display options you can set this way:

ParameterWhat it does
hide_avatar=trueHides the avatar.
hide_banner=trueHides the banner image.
view=week, view=rolling, or view=monthOpens the link in that view.
show_view_changer=falseHides the menu for switching views.
locale=en, locale=fr, or locale=nlOpens the link in English, French, or Dutch.

For example: https://savvycal.com/username/slug?hide_avatar=true.

Does my booking page show SavvyCal branding?

Yes, unless you hide it. The booking page shows the SavvyCal logo next to the time zone in the week views, and "Scheduling by SavvyCal" in Month View. The confirmation page invites schedulers to create their own booking link, and calendar invite descriptions end with "Scheduling by SavvyCal."

On the Premium plan, you can remove all of these. Open Booking Page Options > Branding and turn on Hide SavvyCal branding on scheduling links. See how do I remove SavvyCal branding? for everything it hides.

In the same branding settings, any plan can set a Primary Color, an Accent Color, a Banner Image, and a Theme. See customizing your branding.

How do I see my page the way schedulers do?

In the link editor, click Preview. You'll see your booking page with a bar across the top. Click Exit preview to go back to the editor. You can book a test meeting with yourself from the preview.

The preview isn't exactly what schedulers see, because you're signed in:

  • Your name and email address are already filled in on the form.
  • Times that conflict with your own calendar are marked.
  • If the link isn't active, you see an alert with a button to activate it, instead of the page schedulers get.
  • If SavvyCal can't load your availability, you see the reason, such as a calendar that needs reconnecting.

To see exactly what a scheduler sees, open the link in a private or incognito browser window.

What do schedulers see when there are no open times?

The page skips ahead to the earliest open time on its own. When there's nothing to show:

  • Week View and Rolling View show "There are no open slots on these days," with an arrow to the next week.
  • Month View says there are no slots of that length on the selected day, and suggests changing the duration or picking another day.
  • On phones, the day's list says "There are no open slots on this day."
  • If availability can't load, the page shows "An error occurred while fetching availability" with a Retry button.

To find out why times are missing, see how SavvyCal decides when you're busy and configuring link availability.

Link statusWhat schedulers see
ActiveThe booking page.
Disabled"This link is no longer available."
Pending"This link is no longer available."
Archived"This link is no longer available."
Deleted"Whoops, this page was not found."

A link is pending when your plan doesn't include scheduling links, for example after a subscription ends. See managing your subscription.

You, and anyone else who can edit the link, still see the booking page for a disabled, pending, or archived link, with an alert at the top. Click Activate this link to turn it back on, or Upgrade to activate if your plan doesn't include links. On the Free plan, you can book up to 10 test meetings on your pending links.
