Connecting your calendars

SavvyCal connects to Google Calendar, Microsoft 365 (Outlook), iCloud Calendar, and Fastmail. To connect one, go to Settings > Integrations, find the Calendars section, click Connect another calendar, and pick your provider. You can connect as many accounts as you like. SavvyCal checks the calendars you select in all of them for conflicts, and creates new events on the one you choose under Create events on....

Which calendars can I connect?

  • Google Calendar: personal Gmail accounts and Google Workspace accounts.
  • Microsoft 365: Outlook calendars on a Microsoft work or school account, or a personal Microsoft account such as Outlook.com. Microsoft Teams meetings need a work or school account.
  • iCloud Calendar: connects with an app-specific password from Apple.
  • Fastmail

SavvyCal doesn't connect to other calendar services, or to a CalDAV or Exchange server you host yourself.

How do I connect a calendar?

  1. Go to Settings > Integrations and find the Calendars section.
  2. Click Connect another calendar and choose Google Calendar, Microsoft 365, iCloud Calendar, or Fastmail. If you haven't connected any calendars yet, you'll see a button for each provider instead.
  3. Finish connecting for your provider:
    • Google Calendar, Microsoft 365, or Fastmail: a window opens where you sign in to the account and approve the access SavvyCal asks for. For Google, make sure both permission boxes are checked. See calendar permissions for what SavvyCal requests and why.
    • iCloud Calendar: in the Add iCloud Calendar dialog, enter your iCloud email address and an app-specific password, then click Add account. Your regular Apple ID password won't work. See connecting your iCloud calendar to create one.

The account then shows up in the Calendars section with its email address and its calendars.

When you connect your first account, its main calendar is checked for conflicts and becomes the calendar new events are created on. Its other calendars start out unchecked. See which calendars SavvyCal checks to change that.

If the sign-in window closes and you see We encountered an error authenticating your account. Please try again., the sign-in was canceled or blocked. If your company restricts which apps can access work accounts, your admin may need to approve SavvyCal.

If you see We don't have sufficient permissions for this account. under an account, you didn't approve everything SavvyCal asks for. Click Reconnect in that notice and approve all the permissions. For Google, check both boxes.

Can I connect a calendar when I sign up?

Yes. If you sign up with Google, Microsoft, or Fastmail, that account's calendar is connected for you.

Setup then asks you to Connect your calendars. You'll see the same provider buttons, plus a Create events on menu once an account is connected. Click Continue when you're done, or Skip for now to do it later under Settings > Integrations.

Can I connect more than one calendar account?

Yes, and there's no limit. You can mix providers, for example a Google work account and an iCloud personal account. Each account appears in the Calendars section with how many of its calendars are checked (for example, 2 of 5 selected). A time is busy if an event on any checked calendar, in any account, blocks it.

To add another account, click Connect another calendar again. Connecting a Google, Microsoft, or Fastmail account that's already listed updates that connection instead of adding a second copy. Adding an iCloud account that's already listed shows an error that the email is already in use.

Connecting a Google or Microsoft account also lets you sign in to SavvyCal with it. See signing in and changing your email.

How do I choose which calendars are checked for conflicts?

Open the account in the Calendars section and check the calendars you want SavvyCal to treat as busy. To pull in calendars you've created since connecting, click the Sync button on that account. See how SavvyCal decides when you're busy for which events block your time.

How do I set the default calendar and event name?

At the top of the Calendars section, under Settings > Integrations:

  • Create events on... picks the calendar new bookings are added to. Choosing a calendar also turns on conflict checking for it. See where calendar invites come from for how this affects who sends the invite.
  • With event name... picks how new events are named, such as [Organizer] and [Scheduler] (the default) or [Link Name]. See customizing event names.

The same two settings are also under Settings > Links, in the Calendar section. You can override both on any link.

Only calendars SavvyCal can create events on appear in Create events on...:

  • Google: calendars you own or can make changes to.
  • Microsoft 365: only the account's main calendar.
  • iCloud and Fastmail: calendars you can edit.

New links use your defaults. When you pick a new default calendar, links that don't have a calendar yet start using it. Links set to a different calendar keep theirs until you sync them.

When some of your links don't match your defaults, a note appears below the two menus, such as 2 scheduling links use a different calendar. or 3 scheduling links have a different event summary.

  1. Click Review next to the note.
  2. In the dialog, every link is checked. Uncheck any you want to leave alone.
  3. Click Sync selected links.

The list includes links you're the organizer of. Changes apply to new bookings only. Events already booked stay on the calendar they were created on.

If a link uses Microsoft Teams or Google Meet, switching its calendar to one that can't create those meetings can remove the location or show a warning. Check those links after syncing. See Integrating with Microsoft Teams and Integrating with Google Meet.

Can I add a shared or delegated calendar?

Yes, through your own account. SavvyCal lists the calendars your account can see, so a calendar someone has shared with you shows up under your account once it's in your calendar list.

  • Google: calendars in your Google Calendar list, including ones others have shared with you. You can check any of them for conflicts. You can create events on the ones you have permission to make changes to.
  • Microsoft 365: calendars shared with you that you've added in Outlook usually show up and can be checked for conflicts. You can only create events on your own main calendar.
  • iCloud and Fastmail: shared calendars in your account's calendar list show up too, and you can create events on any calendar you can edit.

If you added a shared calendar after connecting, click Sync on the account to pull it in.

Can I connect a calendar account that belongs to someone else?

You can connect any account you can sign in to. SavvyCal doesn't check that it matches your own email address. But think twice before you do:

Connecting a Google or Microsoft account also makes it a way to sign in to your SavvyCal account, unless it's already linked to a different SavvyCal account. If you connect someone else's Google or Microsoft account, they may be able to sign in to your SavvyCal account with it.

Depending on what you're after, these usually work better:

  • To see someone's busy times or book onto their calendar, have them share their calendar with your account. It then shows up under your own account. See shared calendars.
  • To have an assistant manage your SavvyCal account, invite them with delegated account access. They work in your account while signed in as themselves.
  • To schedule with teammates, have each person connect their own calendars to their own SavvyCal account, then use a collective or round robin link.

If you're a delegate working in someone else's account, any calendar you connect from their Settings > Integrations page is added to their account, not yours. The same sign-in warning applies.

How do I remove a calendar account?

Open the account in the Calendars section, click the trash icon (Disconnect), type DELETE, and click I'm sure, delete this account. See how do I remove a calendar account? for what happens to your links and events.
