Managing your contacts

The Contacts page in the sidebar lists the people you schedule with. SavvyCal adds people automatically when they book a meeting with you, and you can add anyone yourself with Add contact. Click a contact to edit their details, see your events with them, or manage what you share with each other. Your contacts are yours alone. Teammates can't see them.

How do people get added to my contacts?

When someone books with you. When someone books one of your scheduling links, SavvyCal adds them to the organizer's contacts once the booking is confirmed:

Only the person who booked is added. Guests they invite aren't, and you're never added to your own contacts. When you book a meeting on someone's behalf, the person you book for is added to the organizer's contacts, which may be a teammate's list rather than yours.

When you add someone as a link attendee by email. When you add someone to one of your scheduling links with Add attendee, and they don't share their SavvyCal availability with you, they're added to your contacts too.

When you add them yourself. See adding a contact.

How do I add a contact?

  1. Go to Contacts and click Add contact.
  2. Enter their Email, and if you like, their First name, Last name, and Phone number.
  3. Click Add contact.

SavvyCal opens their contact page, where you can add their time zone, company, and job title.

Each email address can only be on your contacts list once. If the person is already there, you'll see Email already exists in your contacts.

Adding someone doesn't notify them. On a paid plan, the Add contact window also has Invite to share availability, which emails them a request to share their calendar availability with you. See sharing availability with people outside your team.

What's stored on a contact?

Each contact has a First name, Last name, Email, Phone number, Time zone, Company, and Job title. Only the email is required. There's no notes field and no custom fields.

When SavvyCal adds someone from a booking, it fills in their name, email, phone number, and time zone from what they entered when they booked. If they book again later, SavvyCal updates those details from the new booking.

Once you edit a contact yourself, SavvyCal stops updating it from bookings, so your changes stick. Contacts you add with Add contact are never updated from bookings.

How do I find a contact?

The Contacts page shows each person's name, email, phone number, company, and job title. On smaller screens, some of those columns are hidden.

  • Search contacts searches names, emails, companies, and job titles.
  • Sort orders the list by Favorite, First Name, Last Name, or Company. For anything other than Favorite, choose Ascending (A-Z) or Descending (Z-A).
  • Reset filters clears the search and puts the sort back to the default.

By default, the list is sorted by Favorite: your favorites first, then everyone else by last name.

How do I favorite a contact?

Click the star next to their name, either in the list or on their contact page. Click it again to remove them from your favorites. Favorites appear at the top of the list when it's sorted by Favorite.

How do I see my meetings with someone?

Click their name on the Contacts page, then open the Upcoming Events or Past Events tab. Each tab shows how many events you have with them.

These tabs list the events you're attending where this person is an attendee, whether they booked the meeting or were added as a guest.

To see them on the Events page, click View all events. This opens Events filtered to this person, with Status set to Any. See managing booked events.

How do I edit a contact?

  1. Click their name on the Contacts page, or choose Edit from the menu (⋮) next to them.
  2. On the Contact Details tab, change any of the fields.
  3. Click Save details.

Editing a contact only changes your contacts list. It doesn't change any booked events or tell the person.

How do I delete a contact?

  1. On the Contacts page, open the menu (⋮) next to the contact and choose Delete.... Or open the contact and click the trash icon next to their name.
  2. Click Delete contact.

Deleting a contact doesn't cancel or change any events with them. Those events stay on your Events page.

If you'd shared anything with them on the Permissions tab, deleting the contact stops sharing it. That can affect their scheduling links that include you, so SavvyCal warns that deleting may remove you from links where this person added you as an attendee.

You can't delete a contact who's on one of your teams. The trash icon is grayed out on their contact page.

Deleting a contact doesn't stop them from being added again. If they book with you later, SavvyCal adds them back as a new contact, without the edits or favorite you had before.

What's on the Permissions tab?

The Permissions tab on a contact's page shows what you and this person share with each other:

  • If you're teammates, it lists what you automatically share as members of the same team.
  • If you haven't shared anything, it shows No shared availability. On a paid plan, click Request availability to ask them to share their availability with you.
  • If either of you has shared something, it shows two columns: What you share and what they share. Turn things on or off under What you share and click Save permissions.

You can share Free/busy availability, Email addresses, Saved schedules, Connected calendars, Locations, and Connected apps. While a request is waiting for them to accept, their contact page shows Requested to share availability next to their email.

For how share requests work and what the other person sees, see sharing availability with people outside your team.

Are my contacts shared with my team?

No. Each person has their own contacts list. Teammates and organization admins can't see yours, and you can't see theirs.

When someone books a link you share with teammates, they're added to the contacts of whoever organizes that event.

Does someone know they're in my contacts?

No. SavvyCal doesn't notify people when they're added to your contacts, whether that happens automatically or with Add contact. They only hear from SavvyCal if you invite them to share availability.

Where else are contacts used?

  • Booking on someone's behalf: On Book an event, Choose a contact fills in the person's name, email, and phone number.
  • AI assistants: If you've connected an AI assistant to SavvyCal, it can look up, add, edit, and delete your contacts. Contacts it adds aren't sent an invitation. See integrating with AI assistants.

Can I import or export contacts?

No. There's no way to import a list of contacts or export your contacts.

To get the people who've booked with you in a spreadsheet, export your events from the Events page. The export includes each scheduler's name, email, and phone number. See exporting event data.
