Scheduling links

Proposing times

Propose times lets you pick a few open times from one of your scheduling links and copy them as a short list to paste into an email or message. Each time in the list links to your booking page with that time already selected, so the other person can book it in a couple of clicks. Nothing is reserved: the times stay open to anyone until someone books them.

How do I propose times?

  1. Open Propose times from either place:
    • On the Scheduling Links page, click the three-dots menu on the link's row and click Propose times.
    • In the link editor, click Share in the top bar and click Propose times. On a phone, it's in the three-dots menu in the top bar.
  2. If the link offers more than one duration, choose one under Duration.
  3. Check the Time Zone. It starts as your own time zone.
  4. Click the open times you want to offer. Click a selected time again to remove it.
  5. Click Copy snippet.

You'll see "Proposed times copied," and the window closes. Paste the snippet wherever you're writing to the person.

The option shows for active links. If a link is disabled or archived, turn it back on first.

How do I pick the times?

The calendar shows the link's open times, the same ones schedulers see on your booking page. Your own calendar events are shown on the grid too, along with busy times for anyone else on the link, so you can see what's around each time.

  • Click an open time to add it. Hover to see a block the length of the meeting.
  • Click and drag down the grid to add every open time in that stretch at once.
  • Remove a time with the x next to it in the list on the left, or click it again on the calendar. Clear removes them all.
  • Move between weeks with the arrows above the calendar.

There's no limit on how many times you can pick. The list on the left numbers your picks in date order.

On a phone, pick a day from the month calendar, then tap the times you want. Tap Back to pick another day.

Choose the duration before you pick times. The links in the snippet use the duration that's selected when you click Copy snippet.

What does the snippet look like?

The snippet lists the time zone, then your times grouped by day, then a link to your booking page:

Times shown in (GMT-04:00) Eastern Time

Tuesday, October 27, 2026
10:00 am
2:30 pm

Wednesday, October 28, 2026
9:00 am

SavvyCal copies it two ways at once, and the app you paste into picks the one it supports:

  • Rich text, for email apps and anywhere else that accepts formatting. The day is in bold, each time is a link that books that time, and the last line is a Find more times here → link.
  • Plain text, for places that don't take formatting. The times aren't links, so the other person books through the booking page address at the end.

Times use your time format setting, 12-hour or 24-hour. The snippet doesn't include the link's name or the meeting length, so say what the meeting is for in your message.

If you use a custom domain, the links in the snippet use it.

What time zone are the times in?

The time zone you pick under Time Zone in the Propose times window. It starts as yours. If you know where the other person is, switch it to their time zone so the snippet reads naturally for them. Reset to puts it back to yours.

This only changes how the snippet is written. When the other person clicks a time, the booking page shows times in their own time zone, as it always does. See setting your time zone.

What happens when someone clicks a proposed time?

Your booking page opens on the week of that time, with the time selected and the Confirm your details form showing. They fill in the form and click Schedule, the same as if they'd picked the time themselves. See what schedulers see on your booking page.

If the time isn't open anymore, because someone else booked it, your calendar filled up, or your availability changed, they see Time slot is no longer available and a Find another time that works button. That button closes the message and leaves them on your booking page to pick another time.

They can also ignore your picks and click Find more times here to see everything that's open.

Are proposed times held for the other person?

No. Proposing times doesn't reserve anything. The times stay open on your booking page, and anyone with the link can book them. A new event on your calendar can also make one of them busy. The snippet is only text with links in it, so SavvyCal doesn't keep track of what you proposed.

If you only want one booking from the snippet, propose times from a single-use link. After the first booking, the link is archived, and the other times in the snippet show "This link is no longer available."

How is this different from the Chrome extension?

It's the same feature in a different place. SavvyCal for Chrome builds the same snippet from the toolbar, so you can propose times without leaving your inbox.

The main difference is duration. The extension always uses the link's default duration, so to propose a different length on a link with several durations, use the web app.

Should I propose times or create a meeting poll?

  • Propose times when you're meeting one person, or one person is booking for a group. They pick a time and it's booked right away, with no back-and-forth.
  • Create a meeting poll when several people need to agree. Everyone votes on the times that work for them, you see the results, and you pick the winning time and send the invite yourself.
