Emails SavvyCal sends

SavvyCal emails people when a meeting is booked, changed, or canceled, and sends a few emails about your account. Who gets the meeting emails depends on who sends the calendar invite. When Google or Microsoft sends it, SavvyCal emails only you, the organizer, in most cases. When SavvyCal sends it, everyone on the meeting gets an email from us. See Where calendar invites come from.

You can't turn off SavvyCal's built-in meeting emails, but you can choose which of your addresses gets your copy. Workflow emails are separate: you write them, choose who gets them, and can pause them anytime.

What do the subject lines look like?

Meeting emails start with a label, followed by the event name, date, time, and time zone. For example:

New Event: Intro call @ Tue, Mar 3, 2026 2:00pm - 2:30pm (CST)

Each person sees the time in their own time zone. See What time zone are emails and reminders in? To change the event name, see Customizing event names.

Which emails do schedulers and guests get?

These go to the person who booked (the scheduler), guests they added, and teammates on the link. Most of them only go out when SavvyCal sends the invites.

A few details:

  • The invite file. When SavvyCal sends the invites, the New Event:, Invitation:, Updated:, and Canceled: emails include an invite.ics file so people can add or update the event on their own calendar.
  • RSVP links. Guests the scheduler added get the Invitation: email with Yes, Maybe, and No links.
  • Approval and decline emails go to the scheduler even when Google or Microsoft sends your invites. Guests the scheduler added don't get them.
  • Updates to past meetings. The Updated: email isn't sent when the meeting's new time has already started.
  • Paid events. SavvyCal doesn't send a separate payment email. Nothing goes out while the scheduler is still paying, and the usual emails go out once they've paid. See Collecting payments with Stripe.

Which emails do I get as the organizer?

You get an email about every booking on your links, no matter who sends the invites. On a round robin link, the organizer is whoever in the pool gets the booking.

EmailWhen it's sentCan you turn it off?
New Event:A booking is confirmedNo
Action Required:Someone books a link that requires approval. It has an Approve or decline link.No
Updated:The meeting is rescheduled or its video conferencing details change. You also get it when someone is added, is removed, or joins a group event. No
Canceled:The meeting is canceled, including when you cancel itNo
Declined:You decline a request, including when you decline silentlyNo

When Google or Microsoft sends the invites, your New Event: email says "We added this event to your calendar and sent an invite to the attendees."

These emails go to the organizer email on the calendar invite, or to your primary email if you choose. See Configuring booking notifications.

Which emails go out on group events?

On a group link, SavvyCal always sends the invites, so people get emails from us:

  • Someone books or joins. They get New Event: with an invite.ics file, and you get Updated: saying they joined.
  • Someone leaves or you remove them. They get Canceled:, and you get Updated: saying they were removed.
  • The whole event is canceled. Everyone gets Canceled:.

Other people already on the event don't get an email when someone joins or leaves.

What emails come with meeting polls?

When someone responds to your meeting poll, you get an email with the subject "[Name] responded to your [poll name] poll." You get another one with the same subject if they change their response. It goes to your primary email address, and you can't turn it off.

When you schedule a time from the poll, the people you include get the usual meeting emails above.

Emails about your own account go to the email address you sign in with. The "Someone just tried to book" email goes out at most 3 times in 30 days, at least a day apart. Monthly subscriptions don't get a renewal reminder.

Can I turn off SavvyCal's confirmation email to schedulers?

No, there's no setting for it. When SavvyCal sends your invites, that email is the invite, with the invite.ics file the scheduler uses to add the meeting to their calendar.

To have schedulers get a regular Google or Outlook invite instead, create events on a Google or Microsoft calendar. The scheduler then gets the invite from your calendar and no New Event: email from SavvyCal. See Where calendar invites come from.

Approval, decline, and reschedule request emails still come from SavvyCal either way.

Can I stop booking notifications to myself?

No. SavvyCal always emails the organizer about bookings, reschedules, and cancellations. You can choose where they go: under Settings > Links > Booking Notifications, pick Organizer email or your Primary email from Send notifications to.... See Configuring booking notifications.

To keep them out of your inbox, set up a filter in your email app for messages from notifications@savvycal.com.

Why did I get two emails about the same meeting?

Usually it's one of these:

  • A workflow sent one. If a workflow on the link sends a confirmation right after booking, that comes on top of SavvyCal's own email or calendar invite. To avoid doubling up, change the workflow's recipients or remove that action.
  • You were added to a meeting that was already booked. If the organizer creates events on a Google or Microsoft calendar, you get the calendar invite from Google or Microsoft and an Invitation: email from SavvyCal with the meeting details.
  • The link requires approval. The scheduler gets a Tentative: email from SavvyCal when they book, then the calendar invite once you approve.

As the organizer, seeing the event on your calendar and getting SavvyCal's New Event: email is normal. The email is your booking notification.

Why did I get an email after changing the event in my calendar?

SavvyCal keeps booked meetings in step with your calendar. If you move the event in Google Calendar or Outlook, SavvyCal reschedules it and sends the Updated: emails. If you delete it, SavvyCal cancels the meeting and sends the Canceled: emails. For events that started more than 24 hours ago, deleting them doesn't send any cancellation emails.

Who are the emails from, and where do replies go?

Meeting emails to schedulers and guests come from notifications@savvycal.com, with the organizer's name followed by "(via SavvyCal)" as the sender name. On the Premium plan, you can send them from your own address with a Sender Profile. Your own copies always come from "SavvyCal" at notifications@savvycal.com.

Replies go to a person, not to SavvyCal:

  • Emails to schedulers and guests: replies go to the organizer.
  • Your emails as the organizer: replies go to the scheduler. On a group event with more than one scheduler, there's no one person to reply to, so email the scheduler directly.
  • Reschedule requests: replies go to you.
  • Share requests: replies go to the person who sent the request.

Workflow emails follow the same reply rules as meeting emails. Password reset, email confirmation, and renewal emails come from support@savvycal.com, so a reply reaches our support team.

What language are the emails in?

SavvyCal's emails are in English, even when the scheduler booked on a page in French or Dutch. Workflow emails are in whatever language you write them in.

Times show in each person's 12-hour or 24-hour format if they have a SavvyCal account, and in the organizer's format otherwise. See How do I switch between 12-hour and 24-hour times?

Do the emails show SavvyCal branding?

Meeting emails end with "Scheduling by SavvyCal." On the Premium plan, turning on Hide SavvyCal branding on scheduling links removes it from the confirmation, update, cancellation, approval, and decline emails. See How do I remove SavvyCal branding?

Some emails keep a SavvyCal mention even then:

  • Reschedule requests always end with "Scheduling by SavvyCal."
  • Workflow emails end with a line saying the event was scheduled via SavvyCal, and a Report this message link.
  • Sender names say "(via SavvyCal)" unless you send from your own address.
  • Account emails come from SavvyCal itself.
